Searching is now easier and more versatile than ever with the updated advanced search pages for contacts and organisations. They include the ability to build your own searches, share your searches with other users and create new records.
By default ‘My contacts/organisations’ filter is initially selected, this shows all contacts/organisations created and modified by you. To create more filters select the New Filter link.
Filters can be used to drill down your search results. To create a filter, click the New Filter link, then specify what fields and values you want to filter the search by
The display columns tab located at the top of the popup changes the view to the column select screen which configures the fields displayed in the search results. Any field, with the exception of file fields, duration fields and calculated fields can be added as a display column to be shown in the search results.
When you have finished creating the filter, you can view your changes without saving with the apply filter button, or save it using the save button.
Filters applied without saving can be edited by using the cog icon located at the top right of the search results.
When saved you will be asked to provide a name and if your filter will be visible for only yourself, or with every other user who has access to the advanced search screen. Users need to be in a role with the ‘Shared filters modify’ ticket in order to add and edit shared filters. Without this ticket all filters are created under my filters and the option to create a shared filter doesn’t appear.
A user created filter can be edited or deleted by selecting it from the list and using the buttons next to the filter name. The cog icon located at the top right of the search results can also be used to view the edit popup.
If you want to create a more complex filter you can click the ‘show filter options’ link at the top right to show more options for filters. This will enable you to create parameters, choose from different operators and use OR joins.
The prompt for value checkbox shows the field at the top of the page as a parameter so a different value can be used each time the search is run.
