1. Linking to Your Website: General Information

Identify if your website was created on Wix or a similar type of automated web building site, or if it was built specifically for your organisation’s purposes.

Action Tasks:

Navigate to System - System Management - Manage ChilliDB Web Controls

Click on the name of the web control you wish to embed in your website.

Scroll to the bottom of the screen and click on ‘Get Code’.

Copy the relevant code for your type of website: HTML = generally for websites that have been built from scratch; Direct URL = for websites created on sites like Wix.

Paste code into the relevant area of your website editor.

2. Setting Up Subscriptions Web Controls

Ensure the required information for setting up a new subscription is in your system

a new/existing Organisation to link the subscription to

a new/existing Distribution list for the subscription

a new/existing Contact Type to categorise subscribers with

a ChilliDB user has been identified to receive new subscriber alerts

Access the subscriptions web controls by clicking on the ‘Subscriptions’ tab at the top of the page.

Decide whether you want to ‘Add’ a new instance of this type of control or edit an existing control.

If new, name your new subscription web control instance.

Choose which of your distribution lists any new subscribers will be added to.

Set the defaults for the Organisation new contacts are to be associated with and the Contact Type they will be categorised as. 

Choose an Organisation type to associate any new organisations entered by new subscribers with. 

Decide whether to set notifications for both the new subscriber (an email with a message) and the applicable staff member in your organisation.

Add customised content to your ChilliDB Web Controls (if desired). 

Choose the communication method by which you will be communicating with your subscribers (required field). 

Add fields (*these fields are the same fields you have available to you when creating a contact/organisation) to the subscription form that you would like to collect information for in your subscription web form. 

Save your settings

Website Code: click on ‘Get Code’ at the bottom-right side of the page to access the appropriate code to embed in your website.

3. Setting Up Events Web Controls

Ensure the required information for setting up a new subscription is in your system

a new/existing Organisation to link the event registrant to

a new/existing Event for the registrant to attend

a new/existing Contact Type to categorise subscribers with

a ChilliDB user has been identified to receive new event registrant alerts

Access the events web controls by clicking on the ‘Events’ tab at the top of the page.

Decide whether you want to ‘Add’ a new instance of this type of control or edit an existing control.

If new, name your new events web control instance.

Decide what those registering/viewing your events web control can do

Choose the date range within which events should be displayed

 Choose the event types to display on your website

Choose an Organisation type to associate any new organisations entered by new subscribers with. 

Decide whether users viewing your webpage will be able to view a calendar/list view of your events (or both).

Set list view rules 

Choose your option for the session detail view. 

Select the fields you want a potential registrant to view when they register for an event. 

Set the defaults for the Organisation new registrants are to be associated with and the Contact Type they will be categorised as. 

Choose an Organisation type to associate any new organisations entered by new registrants with. 

Select the default statuses to be applied to a registrant when they register for paid/unpaid events.   

Save your settings.

4. Setting Up Membership Web Controls

Ensure the required information for setting up a new subscription is in your system

a new/existing Organisation to link the new member to

a new/existing Membership Package to link member to

a new/existing Contact Type to categorise the new member with

a ChilliDB user has been identified to receive new subscriber alerts

Access the membership web controls by clicking on the ‘Membership’ tab at the top of the page.

Decide whether you want to ‘Add’ a new instance of this type of control or edit an existing control.

If new, name your new membership web control instance.

Choose which of your membership packages will be available to new members on your web page.

Set up Membership Options for your membership packages that are available on your web page. 

Choose a default categorisation for members joining non-chargeable membership packages (if applicable). 

Set the defaults for the Organisation new members are to be associated with and the Contact Type they will be categorised as. 

Choose an Organisation type to associate any new organisations entered by new members with. 

Decide whether to set notifications for both the new member (an email with a message) and the applicable staff member in your organisation.

Add customised content to your ChilliDB Web Controls (if desired). 

Choose the communication method by which you will be communicating with your subscribers (required field). 

Add fields (*these fields are the same fields you have available to you when creating a membership/contact/organisation) to the subscription form that you would like to collect information for in your membership web form. 

Choose whether or not to use reCAPTCHA.

Save your settings.

Website Code: click on ‘Get Code’ at the bottom-right side of the page to access the appropriate code to embed in your website.

5. Setting Up Listings Web Controls

Access the listing web controls by clicking on the ‘Listings’ tab at the top of the page.

Decide whether you want to ‘Add’ a new instance of this type of control or edit an existing control.

If new, choose your new listings web control type - Contact or Organisation.

Add the appropriate labels to your listing.

Choose the types of Contacts/Organisations to display. 

Add fields to the listings form that you would like to collect information for in your web form. 

Choose whether or not you wish to display a map using address details taken from your Contacts/Organisations. 

Set the properties for your search results. 

Save your settings.

6. Setting Up Forms Web Controls

Ensure the required information for setting up a new subscription is in your system

a new/existing Organisation to link the subscription to

a new/existing Note Type to link to

a new/existing Contact Type to categorise the visitor with

a ChilliDB user has been identified to receive new subscriber alerts

Access the form web controls by clicking on the ‘Forms’ tab at the top of the page.

Decide whether you want to ‘Add’ a new instance of this type of control or edit an existing control.

If new, name your new forms web control instance.

Choose Note Defaults to apply to this form.

Set the defaults for the Organisation visitors are to be associated with and the Contact Type they will be categorised as. 

Choose an Organisation type to associate any new organisations entered by visitors to your site with. 

Decide whether to set notifications for both the new member (an email with a message) and the applicable staff member in your organisation.

Add customised content to your ChilliDB Web Controls (if desired). 

Add fields to the form that you would like to collect information for. 

Note: You will need to save the ‘Note Type’ mentioned in the Note Defaults section above first before you will be able to enter fields in this section. Do this by clicking one of the ‘Save’ tabs on the right-hand side of the page. 

Choose whether or not to use reCAPTCHA.

Save your settings.

7. Setting Up Donation Web Controls

Ensure the required information for setting up a new subscription is in your system

a new/existing Organisation to link the new donation to

a new/existing Donation Type/Method to link to

a new/existing Contact Type to link the new donation with

Access the donations web controls by clicking on the ‘Donations’ tab at the top of the page.

Decide whether you want to ‘Add’ a new instance of this type of control or edit an existing control.

If new, name your new donation web control instance.

Add a description of the donation and indicate if the PayPal API keys have been configured to allow the collecting of donations.

Set the Donation Defaults to be applied to the donation record saved in ChilliDB. 

Choose an Organisation type to associate any new organisations entered by visitors to your site with. 

Decide whether to set notifications for both the new member (an email with a message) and the applicable staff member in your organisation.

Set the defaults for the Organisation visitors are to be associated with and the Contact Type they will be categorised as. 

Add the donation transaction text to appear on donor’s PayPal statement.

Decide the donation amount settings. 

Customise the website content. 

Add fields to the form that you would like to collect information for. 
Note: You will need to save the ‘Contact Type’ mentioned in the Contact Defaults section above first before you will be able to enter fields in this section. Do this by clicking one of the ‘Save’ tabs on the right-hand side of the page.
