  • How to Email Event Certificates

    To make it easier to send event certificates to each attendee, we have added an ‘Email Certificates’ option to the actions menu of all events. This runs the certificate attendance report for each attendee and converts it to a pdf which gets attached to their email. When the ‘Email Certificates’ link is clicked you are able to specify which contacts should receive a certificate by selecting the required session and if required the status of the attendee. All attendees meeting this criteria will be emailed their personalised certificate. The ‘store email as note for each attendee’ option enables a copy of the email to be also stored as a note for each contact. When continue is clicked you will be taken to a ‘refine recipients’ popup where you can check the recipients are correct. Click the send button on the bottom right to confirm and send the certificates. A system email template and certificate format is used which can be customised if required. The capture below shows and example of the email content and certificate. Configuration Both the message template used by the email and the certificate report can be changed in the Event Configuration page. The link to this page is found under the event menu. Any existing message template can be used and the tokens available for mail merging are as follows: Customised Event Certificate RDL reports must have already been uploaded into ChilliDB as an integrated report for Event Registration so they appear in the ‘Event Certificate Report’ list. It is highly recommended that you save the current system Event Certificate report and customize that report rather than starting from a blank report. The report must contain a parameter called ‘Registration_ID’, which will be supplied the attendee registration ID (Event Registration ID) when called. RDL files are created using Microsoft Report Builder which is a free download from Microsoft’s website, or Microsoft Visual Studio.   • Using Notification Rules to Schedule Emails for Memberships and Events

    Using the Notification rules feature, you can configure emails to be sent at a scheduled time, or relative to a time in the membership or event. This is useful for sending out notifications and reminders before key dates such as event start dates or membership renewal dates. The notification rules are setup by going to the actions tab of any event or membership. To see the menu item, you must have the ‘Notification Rule’ user ticket. There are two main types of rules, those based on a specific date, or rules relative to key dates. For example 1 day before event session start. When the date in the rule has arrived, an email will be sent out to members of a membership/those with registered status on an event. This rule will be sent to all people registered to any event session in this event 1 day before the event start date. The email content is taken from the chosen message template. Message templates are created from the utilities menu>message templates>create. Tick store message if you want ChilliDB to store a copy of each email as a note. When you have finished creating your rule, click save. Alternatively, you can create this rule as a template, so you can easily apply the same rule to multiple events/memberships. Templates are chosen from the ‘base on template’ dropdown. The sender of notification rules emails will be the email specified in the Notification Rules Email Address configuration setting.

Choose the Contact module 3. Go to the Base section 4. Go to the Photo field 5. Change the Value for “Size” 6. Click 'Save'.

  • Showing or Hiding Empty Custom Fields

    Custom Fields ChilliDB lets user to decide whether they want to display or hide empty custom fields on their display page. Both System/inbuilt or Module Builder Modules on ChilliDB support this function. Thus display page for any module can be customised on the basis of user need or preferences. System Module: For the System build modules like Contacts, Organisation, Events, Notes, Membership and so on, this setting can be toggled via simple steps. To access this customization, we simply need to go to the System Menu, and go to System Management. Once on System Management page, go to Manage System Configuration. From Manage System Configuration, we have to find the Custom Fields Show Field Label With No Value On Display Pages. We can find this simply by typing the keywords into the field and clicking 'Filter'. We must make sure that we have selected 'Items which can be changed' from the Filter Dropdown List. Whilst in settings, we can set the Value to True or False and then click 'Update'. This configuration setting determines whether custom fields with no value will be displayed in Display pages or not. False = Do not show fields label with no value. True = Show field labels regardless of whether the field has value or not. Default value = False. Module Builder Module: For the Module Builder Modules, this setting can be toggled via a few simple steps. We can customise any Module while building them, or by managing (editing) them. While building new module, we can check the Show all Field Labels checkbox to display all the fields regardless of the values being assigned against them. This configuration setting determines whether custom fields with no value will be displayed in Display pages or not, and works similar to the System Setting. Unchecked = Do not show fields label with no value. Checked = Show field labels regardless of whether the field has value or not. Default value = Checked. Once Created, this setting for Module Builder Modules can be accessed via a few simple steps. First, you need to go to the System Menu and click Custom Fields and then go to Module Builder. From the list of Modules available on Module builder display page, we have to click the module that we want to Maintain. And from Maintain page, we can choose to Check or Uncheck this setting. The setting will be reflected on that module once 'Update' button is clicked.

  • Using Flags

    Flags in ChilliDB ChilliDB has the ability to use a system of Flags for Contacts and Organisations. This can be a quick, visual guide that can be used to indicate certain points or that something needs to be done when a record is viewed by the User. These Flags can be used to represent anything depending on a business’ internal rules. To help with this, Flags can be created in a variety of different colours and with specific text that can be displayed within the Flag. For example, a red flag could be used to indicate that the Contact needs reviewing or to be updated and a green flag could be used to show that the review of Contact has been completed. Accessing Flags To access and apply a Flag on either a Contactor Organisation, we simply need to go to the Actions menu in the top right corner of the screen and navigate to Flag where we can select the type of Flag we are going to use. Once selected, a coloured strip will be displayed across the top of the Contact/Organisation with the text also visible within the strip. Customising Flags To customise our Flags, we need to first go to System > Reference Data > Create and Maintain. From here, we need to select Flag from the dropdown menu and click on Display. Here, we can either right click where it says Flag in the top left corner of the box and select Add New Item to create a new Flag or alternatively, we can right click on one of the existing Flag sand select Maintain Item to edit it. Once we have clicked on either Add or Maintain Item, we can edit the new Flag on the right hand side of the screen. The Description field is where we can enter the text that will be displayed. Description Help Text can be used for further explanation on the Flag and its intended use, Expired gives us the option to remove the Flag from the system but still keep available for future use if needed and finally, we can select the Colour that will be used by the Flag. Click Save once it is ready. Now, if we go back to a Contact/Organisation and access the Flags from the Actions menu, we can see the newly created Flag is available for use. Once selected, the new Flag will be displayed across the top of the Contact/Organisation screen. This will also be reflected on Last accessed panel by having coloured flag next to client record. Searching Flagged Clients Client can also be searched using flag field as a filter. While selecting Flag as field, all the available flag values will populate as drop down on Value field. You can select any value to search clients with that Flag.

  • Is there a maximum length for SMS in ChilliDB?

    No, ChilliDB does not set any limit. All of this is independent of ChilliDB and you should check your SMS carrier. The following is general advice only. The maximum number of characters for a SMS message is generally 160 in GSM supported character sets (i.e. the standard ASCII characters one would normally use day to day). If you enter a character that is not supported, the format of the message will change to Unicode so the length will be less, however this all depends on your carrier and how they handle it. The way SMS works these days generally is less strict - if you type a longer message it will be broken down into two or more text messages (depending on the length of the message) and you will be charged accordingly by your carrier. You can track your usage and the amount of SMS partitions per message via the 'Manage ChilliDB SMS' screen accessed through the system management menu

  • Customising Data Shown in Tabs

    Some tabs can now be customised to display any base or custom field from the relevant module. Tabs on the following pages can now be customised: Contact (notes, messages) Organisation (notes, messages, contacts) events (sessions, event status tabs).We will continue to enable customisation for more tabs in future releases. To change the columns, go to the tab you would like to edit and click the cog on the top right of the grid that is displaying the data. Then a popup will open showing all the fields being displayed on the grid. Select fields using the dropdown and + icon, and adjust their order by clicking the arrows next to each field. Remove a field from the grid by clicking the x icon. Once a grid has been edited, the new fields will be displayed for the logged in user. This customisation is associated to the user, so each user will have their own selection of fields.

Restore the default settings. In addition to the above, an individual user with the relevant User Ticket selected (System Management Tab System Settings) can also manage the following Tab Management functionality: Change the name of a tab (allocate an alias to the Tab) Restore the default settings.
