  • Copying and Creating Duplicates of Surveys

    To quickly copy a survey that is already in ChilliDB, users should use the Create Like link from the Actions menu on the original survey they wish to duplicate. The follow steps will assist users in duplicating a Survey: 1. Find for the survey you wish to duplicate via the Search Survey screen. 2. From the Search Results screen, click on the survey you wish to copy. This will open the Survey Details screen for that survey. 3. Select 'Create Like' from the Actions menu. 4. A copy of that Survey will now be displayed, and the title will indicate it is a 'copy'. . 5. Click 'Edit' to modify the newly created survey. Once any edits have been completed, click 'Save'. 6. You can then preview the newly duplicated survey, and it can be published and invitations sent to Survey participants.

  • Invitation Options

    These options allow users to choose how their survey will be performed. They can choose to make their survey publicly accessible; secured through a special link; or secured through both a special link and ChilliDB security. All of this is done by selecting one of the following options for the 'This Survey Is' field: When users have finished configuring their survey, they select 'Save' to save their changes and they can then start to add questions to the survey. Any of the information for the survey at this level can be changed at any time with no restrictions applying.

  • Responder Notification Options

    These options allow users to use ChilliDB Message Templates to send notifications to their Survey respondents: Notify Responder On Save/Completion – This option enables or disables the sending of Notifications to respondents. Use This Template On Save – This option allows users to choose a Message Template which will then be sent by ChilliDB when the Survey respondent saves their survey - if saving was enabled. This option could be used to send information to the respondent regarding your organisation's survey. For example, to remind them to complete their survey before a certain date. Use This Template On Completion - This option allows users to choose a Message Template which will then be sent by ChilliDB when a survey respondent submits their survey. This function is commonly used to thank the responder for taking the survey.

  • Staff Notification Options

    These options allow users to define notifications for their staff so these staff can be notified of any completed surveys. When the box is checked to enable Notifications, users can choose how they will be delivered to their staff - either via Email or Alerts. Notify Staff On Completion – This option enables notifications to be made. Notification Method - This option allows users to choose between ChilliDB Alerts or Email. Selected Users for Notification – This field will allow users to choose which users in their organisation receive notifications via either email or alert (depending on the chosen method in the section above). If users choose 'Emails' for the Notification Method, they can also choose to send a Notification to any email address they like by entering one or more email addresses, separated with a semicolon, into the 'The following email addresses' textbox.

  • Notification – Sender Options

    The sender options in the ChilliDB Surveys module allow users to define how Notifications will be sent to their survey responders. Notifications can be manual or automatic and are generally used to send invitations, reminders and any messages that a user defines for the saving or submission of their survey: Notifications Will Be Sent From – This is the ChilliDB user that the survey notifications will be sent from. Using This Address for Emails - This is the communication address that the survey notifications will be sent from. This communication address can be any address linked to the ChilliDB user chosen in the option above.

  • Submission, Save & Review Options

    This collection of options controls how your Survey will operated and how it will be submitted: Allow Survey to be Saved & Continued – This options shows a 'Save' button on the survey and this will allow your responders to save their progress. ChilliDB will generate a special link which they can copy and re-open to continue their survey. If they received a personalised email as an invitation to fill out the survey, they can use that email’s link to also continue their survey. Display Review Answers on Completion – This option controls whether or not a summary of the responder's survey response is displayed when they submit their survey response. This will then prompt them to review, revise or submit their response. Allow re-submission – This option will allow your survey responders to re-open their submitted survey using the link to the Ssurvey from their invitation. They can then change their response and re-submit it. If your survey is using Survey Availability From and Survey Availability To dates to control the availability, then the responder may or may not be able to access their survey.

  • Survey Options

    This collection of options controls optional features for your Survey: Show Survey Navigation Tree – This option will show a Tree View which can be used for both Navigation and Progress tracking on your Survey. This is useful if you are using Sections on your Survey and those sections include nested Sub Sections. Word Verification – This option will allow you to ensure that your Survey is being submitted by a human and not any automated spam. When enabled, Word Verification will appear at the end of your Survey and responders will be forced to type in the text they see to verify they are completing the Survey. Can be filled out on Behalf of a Responder – This option allows you to have your own staff fill in the Survey responses on behalf of Contact/Organisations who you wish to Survey. This allows you to either assist your Contact/Organisations to fill out their Survey over the phone or perhaps complete the Survey for your Contact/Organisations.

  • Security and Sensitivity - Surveys

    Restricting User Access to Survey To configure the Survey Security in ChilliDB: Navigate to the Surveys main menu item and select 'Survey Security' from the drop-down menu. Select the Survey Type that you are going to restrict for its accessibility. Assign the system user to the Survey Type by clicking on Find link. Search for the users by Contact or Organisation. Enter the name or leave blank to search all entries. Click on Search and select the User. To select more than one User repeat these steps as many times as needed. To Remove a User click on the name and click on Remove. Click on Save. Restricting Survey Responders using ChilliDB Security Surveys can be sent as an email invitation to chosen Contacts and Organisations from your system, with a token which identifies them back to ChilliDB. This allows ChilliDB to track exactly who is filling out each Survey response. This option is able to use Logins to secure the Surveys. When you choose this option, you will have additional Security Options available to use. By default, Security Options is set to None. When the Login option is set you will be able to choose ChilliDB Users who hold an External User License for your Survey Invitations. If you have SMS enabled in your ChilliDB, there will be an option to use a SMS to authenticate the recipient. They will basically be asked to enter a code sent through SMS when they commence their Survey Response. The SMS will be sent by ChilliDB to the mobile phone number recorded against the Contact or Organisation, depending on who you are surveying. External User Licenses are special low cost licenses which allow you to provide limited access in ChilliDB, such as User Portal access and secured Survey Invitations. Then when sending the Invitations, ChilliDB will allow you to include a Username and Password in the email generated with the Survey link. The recipient of the Survey Invitation, then clicks the link they received, authenticates using the credentials they receive, and then enters the Survey form. You can also add some custom text to the Login Panel of ChilliDB if you choose.

  • Creating a user and allocating users to roles

    Creating A User The next step after allocating tickets to users: https://www.chillidb.com/post/allocate-users-to-roles is to create some Users. Any staff using ChilliDB in their roles will require a user account be created for them. To create a user, first the staff member must be listed as a contact in ChilliDB. If they are not entered under a category in your organisation's ChilliDB Contacts, you will have to create a contact for them first and then return to creating a user when done. To begin creating a new user, navigate to the System menu item and then click on 'Users' - 'Maintain Users'. Towards the top right of the maintain users page, you can click create to add a new user. To successfully create a new user, you must do the following: Allocate them a username Allocate a password (an option is provided to choose to force the new user to change their password at first log-in) Find the contact you want to allocate to the user profile. Once you click 'Find', you can search for the contact you are looking for from your available Contacts. Select the Role that will be attached to this user (from the roles available in your system - if the role is not available, you will have to create it before performing this step) Choose the default layout - how the user's details will appear Choose whether or not the user appears in staff tracking; and Enable/disable two-factor authentication When you have specified all of the information required for your new user, click the 'Save' button. You should then see the new user appear in the User List on the 'Maintain Users' page. Here, you are able to search for a user by username, contact, organisation or role. To edit a user, you can simply click on their username in this list. You can also assign more permissions to their role from this screen by clicking on their role in the 'Role' column.

  • Using the Events Calendar/Events List

    The Events Calendar and Events List options in the Events drop-down menu both allow users to locate events they have created within certain time frames, however there are differences in how these two options operate. Events Calendar The Events Calendar presents a visual overview of past, current and future events. Users are able to toggle between daily, weekly and monthly overviews by clicking on the corresponding tab in the top right-hand corner of the calendar. Note: Only the Daily and Weekly views will allow users to see the time of the event in the calendar. The Monthly view simply indicates which day the event is on. To view details about an event in the calendar, click on the event name. Doing so takes users to the Event Details Overview page. For example, if we clicked on the ‘Using Advanced Search’ event on the 24th of January in the above calendar. We would be taken to the screen below. Note: The Events Calendar can be added to a user’s Home Screen to provide easy access to event information. To see how to do so, click this link. Events List The Events List also allows users to search for past, current and future events, however it features the added advantage of including date parameters so users can search within a certain time frame. Once users have found the events they are looking for, clicking on ‘Register/More Information’ takes them to the Event Details Overview page.

  • Configuring the Module/Feature

    To Configure the Module/Feature: 1. User Roles- User roles define what staff can and cannot access in the ChilliDB system. To configure a new User Roles in ChilliDB: Systems > Users > Maintain Roles and Tickets Click on Add New Role to create a new User Role Assign a Name to the User Role, write a brief description of the role, Assign Tickets to that User Role. To modify an existing User Role in ChilliDB: Systems > Users > Maintain Roles and Tickets Select Role Name from grid layout to be modified Assign or deselect Tickets assigned to that User Role Click Update 2. Security Tickets- Survey security defines the ability to secure the Surveys so they will only become accessible for certain users who perform specific work within the system. To achieve this is done by associating a type with a group of users in order to restrict the access to that Survey within the group boundary.

  • Managing Email Preferences

    Users are offered a number of options when it comes to managing their email preferences within ChilliDB. To access these options, first navigate to the User Profile icon and choose Preferences from the drop down menu. From the next screen choose ‘Maintain Email Preferences’: Doing so takes users to the email preferences screen where they can choose Message Options (the tool used to send emails and whether to send an email as HTML or plain text); Message Formatting (font type & size and fax options); and creating various Message Profiles (individual email profiles that can be switched between - e.g.: Sales; Support; Education etc).
